Accounts and sign-in
Can I sign up without an invitation?
No. Public sign-up is blocked. If an Owner or Admin gave you an invitation code, click Enter with invitation code on the sign-in screen and enter the code. If you got an invitation link, open it and sign up. An Owner or Admin can also create your account directly with Add member in Admin → Organization & members. Only the first Owner account of a newly installed Ian On is created without an invitation, on the Initial setup screen.
I forgot my password.
If you know your current password, change it in Settings → Password. If you can't sign in, ask an Owner, or an Admin whose role is higher than yours, to use Reset password in Admin → Organization & members. No reset email is sent. A reset ends all your existing sign-in sessions; you sign in with a temporary password and then have to change it to a new one. A sole Owner's account can't be recovered inside the product.
Can I use more than one Ian On installation?
Yes. You can sign up on several Ian On installations with the same email, and each installation keeps its own sign-in. Within one installation, you can't create two accounts with the same email. Instead, one account can belong to several teams.
Can I change the interface language?
Yes. Use the language menu at the top of the screen, or pick Korean or English in Settings → Language. Your choice is saved to your account. Ian's answers don't follow this setting; Ian answers in the language you write in. A short reply like ‘OK’ is answered in the language of your earlier question, and if you say which language you want, Ian answers in that one.
How work happens
What's the difference between a quick answer and "work"?
On Home, click Talk to Ian to ask a question or hand off a task. Ian answers simple questions right in the conversation, and that conversation is saved too. When Ian decides a request should be handled as work, a piece of work is created and goes ahead right away — you don't have to approve it to start. If a decision is needed along the way, you're told with Your decision is needed, and the person who decides clicks Approve or Reject. You can see finished work in History. Where did Chat and Missions go?
The old chat became your conversation with Ian. Open it by clicking Talk to Ian on Home, or by choosing Ian in the Conversations list on the left. What used to be a "mission" is now called Work, and you start new work by asking Ian. Work in progress is under Needs your attention on Home, and finished work is in History. Old /chat links go to Home, and old mission detail links go to that work's screen.
Your data
How long are records kept?
Work receipts are kept indefinitely by default, and members don't delete them from History. You can permanently delete a meeting you recorded: open it in History and click Delete meeting record. Its transcript and decisions are deleted with it. You can't delete a meeting that was shared with you. Ask an Owner or Admin about your organization's retention policy.
What Ian remembers and the documents you upload aren't cleaned up automatically just because they haven't been used in a while. Similar memories are merged into one only when Ian confirms that the new memory is the same as the old one or fully replaces it.
What files can I upload?
You can upload PDF, DOCX, XLSX, and PPTX files, text files (TXT, Markdown, CSV, TSV, JSON, JSONL, HTML, LOG), and PNG and JPEG images to Knowledge. Each file can be up to 100MB, and DOCX files up to 10MB. For details, see Knowledge.
Is my data sent outside to train models?
If you use an external AI provider, the content needed for answers or document analysis is sent to that provider. If Voice Transcription is connected to transcribe meetings, meeting audio is also sent to the transcription service. How that data is handled, including whether it's used for training, follows each provider's policy. You can check organization connections in Admin → AI providers and your personal connections in Settings → My AI Connections. See AI providers and My AI Connections.
My company forbids external model providers.
Ian On works even with only the models your company runs itself. An Admin should add only Local / self-hosted connections under Organization AI Defaults in Admin → AI providers. Note that members can also connect a personal AI account or API key in Settings → My AI Connections, and a personal connection, if there is one, is used first for their own work. There's no admin setting that blocks personal connections, so if your company forbids external AI, tell members not to add one. Live meeting transcription only works on real audio once an external Voice Transcription service is connected. See AI providers.
Will the Gmail assistant send email on my behalf?
No. It writes drafts into your Gmail and stops there — a human always reviews and sends. See Gmail assistant.
Can I use Ian On outside the app?
Yes, two ways: in Discord with the /ian command, and in tools like Claude Code with a personal MCP key. See the Discord and Connect Claude Code (MCP) pages.

Start by telling an Owner or Admin. If your company has a dedicated issue channel, they'll point you to it.
